Data Center Project Cost – The All-too-Familiar Story
I’m sorry if the following story is ‘all-too-familiar’. It is to us.

What started as a disaster seemed it could be fixed with a relatively simple solution. A few days earlier, your UPS batteries failed during a minor power disturbance. In turn, this caused almost a day’s worth of downtime as the UPS dropped the load. After countless sleepless hours, tense phone calls, painstaking service technician site visits, and waiting, management finally decided it would be more cost effective to replace the aging UPS rather than replace the batteries. However, cost control and minimal downtime were the priorities. It seemed simple, replace the UPS.

Upon working with a reputable UPS manufacturer and some due diligence, the perfect UPS replacement was identified, quoted, ordered, and shipped. Upon hearing it would be shipping ‘on time’ you recalled thinking, ‘so far so good’. It didn’t last long.

Upon receiving the equipment, the UPS was a little heavier than expected and more than the elevator could handle. No problem, a rigger was hired to strip the batteries out to lighten the load and got the equipment upstairs. It only cost a few dollars more.

A day later however, the electrician announced that the input feeder from the old UPS was undersized for the new UPS. ‘It’s OK though’, he said, ‘I can pull 480 volts from the panel down the hall. It’s going to cost you though.’ A week and a few thousand dollars later, the UPS input feeder was finally run.

It made perfect sense that while the electrician was there, you had him run those additional branch circuits for the new cabinets that were needed. Unfortunately, there were no more breaker positions available in the new distribution panel. So, for just a few thousand dollars, the electrician was able to install a sub-panel on the wall to give you plenty of new breaker positions. You remember thinking it was unusual that he installed the panel such that the branch circuits were routed in the access floor, directly in front of the CRAC units. But, you deferred to the ‘expert’. You figured, he’s an electrician, he must know, shouldn’t he? Further, you recall your surprise at the time it took to uninstall the old UPS and get it into the hallway. It would have been nice if the president didn’t have to bump into it on his way to the coffee room for those few days. You wondered why they couldn’t get it downstairs over the weekend. In any case, you called the riggers the next week and they took care of it. More money.

In retrospect, it would have been simpler had you installed that ‘optional’ bypass. It would have enabled you to avoid that 2nd shutdown needed to install the expansion batteries. It was too bad it was realized so late in the project that the quoted battery configuration would only hold the load for five minutes due to the additional load of the new cabinets. It would have been nice to know what the actual load was going to be before you started the project.

Now, with the new loads, the UPS capacity is already at 85%. I’m sure you wished you had some more head room on this new install. I’m sure it was little consolation knowing the service technician said it would only take him ‘four hours or so of downtime to upgrade the UPS’s load capacity’. I’m sure you even wondered if the electrician accounted for the additional capacity when he sized the input feeder. He must have

Anyway, it’s all water under the bridge now. The UPS is up and running. Except, of course, for the online management tool that you thought was included with the UPS. However, even that now has been purchased. All that remains is for the service technician you had to hire, to show up to get the darn thing configured.
